Coach

Version 1.1 ·Updated 2026-10-25

Next reviewed by 2027-04-25.

Written for each member of a school's staff, from the registrar to IT, and the families using the portal.

For a coach the school engages from outside its staff, who reads the sessions they are rostered to, takes the roll with each student's alerts and adds their own working with children check.

All guides, including the first steps each member of staff takes. The training for this role takes these tasks in sessions.

Read and mark your session

Coaching, your session

Needs activities.coach.read.

  1. Open Coaching and accept the school’s confidentiality undertaking if it is waiting on you.
  2. Open one of your sessions, read the restrictions beside the students and mark the roll. If the device is offline, the roll waits on the device and sends after reconnection.
  3. Record a fixture result or an incident on the session where needed. You can open only the students on your own rosters, with the limited details the coaching view provides.

Submit your own check

Coaching, Your checks

Needs staff.check.submit.

  1. Open Your checks and add the kind of check or registration the school asks for, its jurisdiction, number, outcome and dates.
  2. Submit it and read its state. It counts only after the school verifies and acknowledges it.
  3. If it is declined, read the reason and submit corrected details. You cannot acknowledge your own check.

Confirm your hours and availability

Coaching, Hours

Needs activities.hours.confirm.

  1. Open Hours and choose the proposed line. Check the actual start, finish and break, then confirm it, or withdraw a line that was not worked.
  2. Add time outside the schedule when needed and give the note that lets the manager check it. A returned line shows the reason; correct it and confirm again.
  3. Use When I’m free to record weekly windows and days away. An empty set of weekly windows leaves you available; a day away warns the coordinator.
